Skye Events is a Charity and Social Enterprise based on the Isle of Skye with the aim to connect people together by delivering sustainable events to promote physical activity, and long term health and wellbeing. It works to maximise profit to support its Community Fund. The Fund donates small grants to Skye charities and community groups principally to fund social programmes that benefit the community and the environment.
Person Specification
We are seeking an Event Organiser to work alongside the Skye Events team to manage a series of events throughout the year; both live and virtual. The largest of these is a 1000 ticket Half Marathon which next year will take place in Portree on 10th June 2023.
This home-based position is an exciting, creative, people-centric opportunity to work part- time on a flexible 9-hours per week annualised contract.
Reporting to the Skye Events Project Manager, the Events Organiser will be responsible for day-to-day event planning, promotion and organisation of events. They will also work closely with the Project Manager to improve and develop events in line with the Organisation’s Charitable aims.
The ideal candidate will need to be a capable, methodical, efficient organiser and planner, with excellent interpersonal and communication skills. The role also requires the ability to work calmly and intuitively in a quick moving and sometimes pressured event setting, whilst keeping a smile on your face. Work-load intensifies in the run-up to events.
Job Specification
Liaise and report to the Chair, Treasurer and Committee of Skye Events, as required. Attend Committee Meetings and present both written and verbal updates. Assist the Project Manager to develop existing events and look for opportunities to develop new events.
Work with Project Manager to support and liaise with Skye Events Sponsors. Seek quotes and place orders for merchandise, event equipment, event services and suppliers.
Sustain and expand a vital income stream from Skye Events merchandise as well as managing our online shop sales and packaging and posting orders. Alongside the Logistics Officer, coordinate and encourage participation amongst volunteer / 3 rd sectors groups that support events in return for financial donations.
Assist the Project Manager with PR, marketing, social media and promotional activities, in relation to events following an agreed timetable.
Help to devise and implement pre-race and race day action plans.
Liaise with the Project Manager to create a First Aid Plan and Risk Assessments.
Organise and plan the race day venue, to include but not restricted to; registration, food stalls, bag drop, information desk.
Work with the Race Director & Logistics Officer to assist in the development of race day information packs, provide race briefings and timings as appropriate, and to organise race starts and finishes.
For larger events, work alongside timing services to collate prize winner data.
Work with local organisations to source race day prizes, organise collection / delivery of prizes, organise engravings, and co-ordinate race day prize giving.
Respond to event queries raised by registered participants.
Make applications for race permits and manage subscriptions.
Assist Project Manager and Logistics Officer to disseminate information to local businesses and the community regarding road closures.
Organise and manage Skye Events storage.
Any other duties commensurate with the nature of the post.
